5 Mail Filter

If you have your email address subscribed to this Group, we recommend you create what is commonly called a "Mail Filter" (aka "Mail Rule").

Q: Why Do I Need A Mail Filter?
ANSWER:
  • This "Mail Filter" will AUTOMATICALLY sort these [PhxDance] messages into a designated mailbox -- please see the below Image 4 - Mailbox Containing Messages From [Phxdance] Yahoo Group.
  • This will prevent CLUTTERING of your inbox.
  • An additional benefit, is that if you want to refer to a previous message, you can more efficiently go back and search through PREVIOUS messages -- since all the dance messages are grouped together in the SAME mailbox.
Q: How Does A Mail Filter Work?
ANSWER: 
  • You first create an email folder named [PhxDance] or similar (use whatever name you prefer).
  • The  "Mail Filter" looks for some criteria -- in this case it looks for any email containing "[PhxDance] in the subject link.
  • When it finds such an email, it then "performs an action".  In this case we set it up to move those emails to an email folder named [PhxDance] that we have created.

Q: How Do I Set Up A Mail Filter:
ANSWER:  
  • You first create an email MAILBOX named [PhxDance] or similar (you can use whatever name you prefer).  You will configure the "Mail Filter" to automatically move messages to this mailbox.

  • The actual "filter-creation" step varies from one email program to another, but almost ALL email programs support Mail Filters.
  • You can Google phrases similar to "How to I create a mail filter in {your application name}".
  • For example, Google phrases similar to "How to I create a mail filter in Apple Mail" or "How to I create a mail filter in Gmail" -- using the name of the mail application that you are using.
  • Following below are examples for Apple Mail and for Gmail.

Example 1 - Mail Filter for Apple Mail :

  • Step 0: Create a mail folder named  [PhxDance] or something similar.
  • Step 0b: Use the menus 'Mail' --> 'Preferences' then select the 'Rules' tab (this worked as of Dec 2015).
  • Step 1 (see above image): Name the filter [PhxDance] or something similar.
  • Step 2 (see above image): Configure the filter to looks for incoming emails with subject "[PhxDance]". (The [PhxDance] is the "subject tag" that the Yahoo group will add to every message it sends.)
  • Step 3 (see above image):Configure the filter to automatically move all emails that meet the criteria, into the mail folder named [PhxDance] (or however you named that folder).

Example 2 - Mail Filter for Gmail:

  • Step 0: Create a mail label named  [PhxDance] or something similar.  (Google calls it a "label" instead of a mailbox, but it works similarly.)
  • Step 0b: Select 'Settings' from the "gear pulldown menu" at right, then click the link 'Filters and Blocked Addresses', then click the link 'Create a new filter' (this worked as of Dec 2015).
  • Step 1 (see above image): Name the filter (label) [PhxDance] or something similar when Gmail asks you for the name.
  • Step 2 (see above image): Configure the filter to looks for incoming emails with subject "[PhxDance]". (The [PhxDance] is the "subject tag" that the Yahoo group will add to every message it sends.)
